Website and e-store need-to-know's

Designer call

Once you've paid for your website/e-store/Digital marketing package, you will receive a call to discuss in person the next few steps, what's required, points to be aware of and your input on certain design aspects:

Customer involvement - Some customers like to be intimately involved in getting the look of the website just right, so be sure to communicate this with your designer as to what level your involvement in the project is going to be. Other customers prefer to let our experts run with the design elements and provide feedback once there is a designed template to work off.

If you like the look of some existing websites, be sure to send the links through to your designer and chat to them about what elements you like/dislike. Your designer can also offer up ideas from experience/suggestions and chat about them to ensure you're on the same page as your designer.

Website/E-commerce content

Website development will only begin once we have received all the content (images, pictures, FAQ's, documents etc). This is to ensure proper planning and structure of the project. Make sure to identify the information correctly to avoid any confusion. Should you need additional guidance/advice, please contact us on 087 943 2606.

Images -  need to be of a high quality (over 200kb) and well lit to ensure a clean, crisp and professional looking website, avoiding the use of cellphones to capture your images. For stock photographs, you may visit and choose a number images in line with the website setup package you've selected.

Website copy/text - Having enough content on your website is essential for Google to rank your website well. Please make sure to include a text document or any document that is editable (can copy the content off) with a write up on the products your company offers, services, 'About Us' info and other relevant copy.

Files - Include any files you would like hosted on your website. We cater for most of the popular file extensions eg. .docx/PDF/.txt/CSV/.ttf

Website hosting & domain names

Hosting - All websites created using Sage Online Tools will be hosted on the Sage Online Tools server unless by prior agreement. Hosting charges may apply, see pricing page. Please note, website hosting is separate from e-store hosting.

Domain name - Sage Online Tools does not cater for domain name hosting/email address hosting. You need to have purchased a custom domain (we recommend Afrihost) in order to use a custom domain with your website. Normal charges apply with your domain name host.

E-store features, hosting and payment gateway

Sage Online Tools offers a sync between your e-store as well as your Sage Pastel accounting package. While every effort has been made to ensure the syncing process is as smooth as possible, data in your accounting software may need cleaning before the sync may be successful. As soon as we're aware of the problem we will get a support consultant to diagnose and fix.

Store features - The 30-day free trial is there for you to evaluate whether our software has all the right features/components in order for you to run a successful e-commerce operation (are the shipping options sufficient, payment gateway choices and ordering process catered for etc). While our consultants team every endeavor to provide you with the correct information, the onus is on you the customer to fully evaluate all the necessary features/workflow critical to your business. No refunds will be given for work that has taken place on the e-store due to overlooked features and/or workflow process.

Payment gateways - Sage Pay is our preferred and only payment gateway partner until further notice for credit card and secure EFT payments. This is an additional charge over and above the Sage Online Tools setup and monthly hosting costs. Please visit Sage Pay for more information.

E-commerce hosting - Hosting of your e-store is based on the number of products you have pulled through from your accounting to your online store (products may include any number of individual SKU's combined to constitute 1 product). The e-store hosting is over-and-above the website hosting. Please see our pricing page here for more info. If you're an annual license Sage One, Pastel Advantage, Xpress Advantage or Evolution user, you will receive the first 10 products with free hosting.

Setting up your e-store - Use this document as a guide to setting up your e-store settings, shipping methods, payment methods and cash-sales customer. If you're a Sage Pastel Partner or Xpress user, please download this document to set up your e-store mobility link. Evolution users must contact their designer and request an installation setup.


E-store returns policy

If you're selling on your website, it's recommended to have basic returns T's & C's. You may copy and amend the following policy where appropriate and use it on your website.

Our policy lasts 30 days. If 30 days have gone by since your purchase, unfortunately we can’t offer you a refund or exchange.

To be eligible for a return, your item must be unused and in the same condition that you received it. It must also be in the original packaging.

Several types of goods are exempt from being returned. Perishable goods such as food, flowers, newspapers or magazines cannot be returned. We also do not accept products that are intimate or sanitary goods, hazardous materials, or flammable liquids or gases.

Additional non-returnable items:
* Gift cards
* Downloadable software products
* Some health and personal care items

To complete your return, we require a receipt or proof of purchase.

Please do not send your purchase back to the manufacturer.

There are certain situations where only partial refunds are granted: (if applicable)
* Book with obvious signs of use
* CD, DVD, VHS tape, software, video game, cassette tape, or vinyl record that has been opened.
* Any item not in its original condition, is damaged or missing parts for reasons not due to our error.
* Any item that is returned more than 30 days after delivery

Refunds (if applicable)
Once your return is received and inspected, we will send you an email to notify you that we have received your returned item. We will also notify you of the approval or rejection of your refund.
If you are approved, then your refund will be processed, and a credit will automatically be applied to your credit card or original method of payment, within a certain amount of days.

Late or missing refunds (if applicable)
If you haven’t received a refund yet, first check your bank account again.
Then contact your credit card company, it may take some time before your refund is officially posted.
Next contact your bank. There is often some processing time before a refund is posted.
If you’ve done all of this and you still have not received your refund yet, please contact us at YOUR EMAIL ADDRESS HERE.

Sale items (if applicable)
Only regular priced items may be refunded, unfortunately sale items cannot be refunded.

Exchanges (if applicable)
We only replace items if they are defective or damaged. If you need to exchange it for the same item, send us an email at YOUR EMAIL ADDRESS HERE and send your item to: YOUR FULL DELIVERY ADDRESS HERE

If the item was marked as a gift when purchased and shipped directly to you, you’ll receive a gift credit for the value of your return. Once the returned item is received, a gift certificate will be mailed to you.

If the item wasn’t marked as a gift when purchased, or the gift giver had the order shipped to themselves to give to you later, we will send a refund to the gift giver and he will find out about your return.

You will be responsible for paying for your own shipping costs for returning your item. Shipping costs are non-refundable. If you receive a refund, the cost of return shipping will be deducted from your refund.

Depending on where you live, the time it may take for your exchanged product to reach you, may vary.

If you are shipping an item over RXXX, you should consider using a trackable shipping service or purchasing shipping insurance. We don’t guarantee that we will receive your returned item.
